Preferences - Views
The Views Preference page is where you configure the workspace app pages available to end users. Use this page to control which pages users can access, how those pages display in navigation, and which page variants are available for specific review types or teams.
This page is especially useful for tailoring the Standard Solution experience without editing the underlying workspace app templates directly. Admins can show or hide pages, update page names and icons, restrict pages by business group, and manage review- or team-specific pages generated from shared templates.
The Views page includes three configuration tables:
Workspace App Pages - All workspace app pages available in the solution.
Reviews Workspace App Pages - Dynamically generated review page variants that use the shared Reviews template.
Teams Workspace App Pages - Dynamically generated team page variants that use the shared Teams template.
Workspace App Pages
Configure the workspace app pages in the solution, including default pages like My Requests, All Reviews, Request Reporting, and My Reviews. Use this table to update each page’s display name, icon, homepage visibility, AI Front Door visibility, allowed business groups, and whether the page is hidden from end users—as well as add new pages.
To add and configure workspace app pages using this table, follow the steps below:
In the Dynamic Table Columns table, scroll to the bottom of the table and select the Create Row button,
. The Create Row window displays.Configure by entering values for the relevant fields:
Remember, you can select the insert field button,
, to add dynamic values.Name (Required) - Enter a name for the table column.
Display Name - Enter a display name for the page (as it will appear to users).
URL Slug - Enter the URL slug for the page. The slug is the last part of the page URL, which is used by all makers and process contributors to view the page. For example, in the URL

Show on Homepage Quicklinks - Select whether the page displays in the Quicklinks section of the homepage. If set to Yes, the page displays; if set to No, the page does not display.
If page visibility is controlled by the Allowed Business Group field, only users in the selected business groups see the page in their homepage quick links.
Show on AI Front Door - Select whether the page displays in the AI Front Door dropdown menu on the homepage. If set to Yes, the page displays in the Front Door dropdown menu; if set to No, the page does not display.
If page visibility is controlled by the Allowed Business Group field, only users in the selected business groups see the page in the Front Door dropdown menu.
Allowed Business Groups - Select a business group to restrict access to the page to. By default, workspace app pages are visible to all users, but selecting a specific business group hides the page for all users except those in the selected group.
Hide Page - Select whether the page displays in the workspace app. If set to Yes, the page displays; if set to No, the page does not display.
When finished, select Create. The page is created.
Reviews Workspace App Pages (Using Reviews Template)
Configure review-specific page variants generated from the shared Reviews template. Each row represents a review page, such as Direct Manager, IT Review, or Legal. These pages share the same underlying template and table structure, but each variant filters records by review type.
Each review in the Reviews Workspace App Pages table is a mirror of the review type you can create and configure on the Reviews preference page. Each row contains the exact same configuration options, just ordered slightly differently to display the most relevant options for the workspace app page.
Configuration changes made to reviews in the Reviews Workspace App Pages table reflect in the Review Types table in the Reviews preference page and vice versa.
To create and configure a review, follow the steps below:

Display Name - Enter a name for the review that displays to requesters, reviewers, and other process contributors. If left blank, Tonkean displays the Name value.

Allowed Business Groups - Select the business groups that can view the page for this review.
Hide Page - Select whether to hide the page for this review. If set to Yes, the page is hidden; if set to No, the page displays.
Summary Override - Insert a field to dynamically override the summary with alternative information.
AI Specific Ranking - Provide additional context that Tonkean AI uses to populate the “AI Highlights” section in the side panel when the review is created.
Review Due Date - If the review due date must be automatically set, define the number of days after the review is assigned that it is due. Enter only a numeral.
Review Variant Module - Select a custom extension module to supplement the review process. This module can contain any logic that has the ability to approve or reject the review, set the assignee, add a summary interface, override the main review interface, and so on.
Can Add Manual Tasks? - Select whether to allow users to create and assign manual tasks to other users. If set to Yes, the Manual Task tab displays in the review interface. If set to No, the Manual Task tab does not display. Default: No.
Can Edit Request? - Select whether to allow the reviewer to edit the request. If set to Yes, the reviewer is able to edit information on the request. If set to No, the request fields will be read-only for the reviewers.
Required Questionnaires - Select which questionnaires are required before the review is assigned. Note that all questionnaires added to Required Questionnaires must be completed before the review is assigned.
Can Approve in Tonkean - Select if the review can be completed/approved in Tonkean. If set to Yes, an Approve button is provided on the review side panel. If set to No, this Approve button is hidden.
Can Override Main Review Interface? - Select whether an extension module can replace the core part of the review interface.
Doesn't Block Downstream? - Select whether the review does not prevent subsequent reviews or processes. By default, each review blocks subsequent reviews. If set to Yes, this review runs in parallel with subsequent reviews. If set to No, this review must be completed before the subsequent review is assigned.
Reviewer Variant (Overwrite Default) - Select to use a custom review module, overriding the default module.
Allow AI Auto Assignment? [DEPRECATED] - Select whether to use the AI Auto Assignment feature. If set to Yes, the review type uses AI auto-assignment. If set to No, the review type follows the assignment rules as defined.
Default Assignee Email [DEPRECATED]- Select the user who will be assigned this review by default. Use the relevant schema field whenever possible. For example, if you have a schema field for “Direct Manager,” use this field here to dynamically assign the review to the requester’s direct manager.
Can Manage Reviews? - Select whether to allow users to access the interface to manage reviews and add additional review types.
Should Show Internal Comments? - Select whether the internal comments tab displays on the review interface side panel. This tab contains comments only for reviewers that are not displayed to requesters.
Can Reject in Tonkean? - Select whether the Reject button displays in the review side panel. If set to Yes, the Reject button displays. If set to No, the Reject button is hidden. Additionally, a custom extension review module can mark a request as rejected. If this is your preference, you can set this option to No.
Can Return to Requester? - Select whether to allow reviewers to return requests to the requester. If set to Yes, reviewers can return requests to the requester, who can make edits to the request and resubmit. If set to No, reviewers cannot return the request to the requester.
If a request is returned to a requester, who edits and resubmits, the request is not re-classified. If you need the request to be re-classified/triaged, use the request reuse option and instruct requesters to create a new request.
Rejecting Cancels Request? - Select whether a reviewer rejecting a request cancels and closes out that request. If set to Yes, reviewers can select the available Reject button to cancel the request; if set to No, this Reject button does not cancel the request.
Skip Conditions - Define the conditions that determine when the review is skipped.

Review Type Can Be Added More Than Once? - Select whether this review type can be added more than once to a singular request. If set to Yes, the review type can be included more than once. If set to No, the review type can only be included in a request once. Default = No.
Hide Manual Summary - Select whether to hide the manual summary on the review interface side panel. If set to Yes, the manual summary is hidden. If set to No, the manual summary displays. Set this option to Yes to display the summary from an extension module. Default = No.
Can Conditionally Approve in Tonkean? - Select whether a Conditionally Approve button displays for the reviewer. If set to Yes, the button is displayed on the side panel; if set to No, the button is hidden. When enabled, reviewers will be required to provide the condition on which the approval is granted, and the status of the review is updated to Conditionally Approved (instead of Approved).
Display Name - Enter a name for the review that displays to requesters, reviewers, and other process contributors. If left blank, Tonkean displays the Name value.
Processing Steps to Add On Review Approved - Select the processing steps that you want to include when the review is approved. The review will not be marked as completed until all blocking processing steps are done.
Processing Steps to Add On Review Creation - Select the processing steps that you want to include when the review is created. The review will not be marked as completed until all blocking processing steps are done.
Processing Steps to Add On Review In Progress - Select the processing steps that you want to include when the review is in progress. The review will not be marked as completed until all blocking processing steps are done.
Can Be Manually Assigned? [DEPRECATED] - Use the Assignment Policy field instead.
Assignment Policy - Select the review assignment policy that applies to the review type. If empty, Tonkean will apply the default assignment logic.
When finished, select Create. The page for the review is created.
Teams Workspace App Pages (Using Teams Template)
Configure team-specific page variants generated from the shared Teams template. Each row represents a team page. Use this table to update the page slug, icon, allowed business group, and whether the team uses a custom workspace app instead of the shared template.
To create and configure a team page, follow the steps below:
In the Teams Workspace App Pages table, scroll to the bottom of the table and select the Create Row button,
. The Create Row window displays.Configure by entering values for the relevant fields:
Name (Required) - Enter a name for the team page.
URL Slug - Enter a URL slug for the tema page. The slug is the last part of the page URL, which is used by all makers and process contributors to view the page. For example, in the URL

Allowed Business Group (Required) - Select the business groups that can view the team page.
Has Custom Workspace App? - Select whether the team uses a custom workspace app page. If set to Yes, Tonkean does not dynamically create a workspace app page; if set to No, Tonkean dynamically create a workspace app page. Default: No.
Team Leader - Enter the name of the team leader.
Assignment Matching - Define the conditions that determine when this team is assigned reviews.

Order - Define the order in which teams should be assigned reviews.
This option has no impact on the workspace app page.
When finished, select Create. The page for the team is created.
