Preferences - Standard Flows
Standard flows are the common workflows that are included in the intake experiences configured in Create Intake Experiences. Each standard flow is designed for a specific intake scenario and defines the steps required for that scenario.
For example, you may have a flow for a basic "Assistance Request” that only includes one step, “Assistance Step” where users fill in a description of their need, while another flow for “New Contract” includes several steps: (1) Select supplier, (2) complete contract questions, and (3) enter business justification. Both of these are standard flows you can include in intake experiences.
Standard flows are composed of steps configured in the Available Steps table.
Prerequisite: Before configuring the standard flow, you need to create the desired steps See Add and Configure Available Steps.
Create and Configure Standard Flows
To create and configure standard flows, follow the steps below:
In the Standard Flow Configurations table, scroll to the bottom of the table and select the Create Row button,
. The Create Row window displays.Enter values for the following fields:
Name (Required) - Enter a brief descriptive name for the flow.
Description - Enter a description of the flow.
Show Final Summary (Required) - Select whether to display the request summary before submission. For more information, see Intake Summary Step.
Override Summary Step Module - Select whether to use a custom module for the summary step instead of the default module. If you make no selection here, the default module is used.
This field is only relevant if Show Final Summary is set to Yes.
Step (1-10) - Add up to 10 steps, configured in the Available Steps table. Steps for the flow are followed in numerical order, starting with one.
When finished, select Create. Your flow is created and can now be added to a Standard Flow Configuration in an intake experience.
Add and Configure Available Steps
To add and configure available steps, follow the steps below:
In the Available Steps table, scroll to the bottom of the table and select the Create Row button,
. The Create Row window displays.Configure by entering values for the relevant fields:
Remember, you can select the insert field button,
, to add dynamic values.Name (Required) - Enter a brief descriptive name for the step.
Description - Enter a description of the step.
Step Module (Required) - Select the module that contains the logic for the step.
Form ID - Enter the form ID the step is associated with. See Questionnaires and Dynamic Form Questions.
You can make the default Upload Files intake steps required by setting Form ID to “REQUIRED”.
When finished, select Create. Your request flow step is added and can be used (as part of Steps 1-10) in a standard flow.
